2015 Upgrade Plan for VSCC Office Systems
Phased delivery of data migration while maintaining an uninterrupted office system.
The main principal is to control cost and office reliability and continuity.
This will be achieved by making changes in small well designed steps, and minimizing the amount or re-writing and maximising the amount of re-use.
Phases for Migration Of Finder's Data from M/S Access to a Cloud Db ,
Then development of Web applications to view and manage data.
Phase 0 Proof of concept - 2015 to 2017
Phase 1 Move Access Data to MySQl and access Microsoft Access front End (6 months work Compete 2018)
Phase 2 Connect members Web site with Office data , such as Cars, Elibility, resulst, handicapping, Trophies. (6 months work completed 2019)
Phase 3 Staged movement of data to MqSql and convert Finder to use New Data with Finder Front End ( estimate - 6 months work spread over 3 Years,
Note 2020 - Covid lock down enabled the office to be taken offline so work coudl be completed in one Big Bang (6 months work, deliver Sep 2020)
Status Jan 2021
Phase 4 a stable version of Finder existed that did not need any great expenditure.
Data processing would continue unaffected in Office Finder, but using the new Cloud Data for at least 5 years.
Phase 5 During the next 5 years
1) A Version Of Web Finder would be produced to display and Upload data on the web.
2) Slowly selected Finder actions and new features would be moved to the web . (this work is not essential so would be done as and when budget is available)

Staff can use them for test and training without the fear of corrupting Live data.

Rules for Creating Members
(1) TOPO will NOT be able to add members if cloud admin site is not available
(3) Changes to members contact details MUST be done via webiste NOT in Finder
(4) To allow visual checking, web change to members details will be imported on demand into new Finder
(5) Change to members details will NOT be imported into old Finder, so data will become outdated.
(6) New members and cars will be added to teh OLD finder
Rules for Adding Entries
(2) TOPO can added entries and marshals using new Finder
(3) TOPO can NOT add entries to the old Finder
(4) There will be a delay of many hours before new entries are seen in OLD Finder
Support during Transition to new System
All work on events must be done primarily in the old system
and subsequentky repeated for checking in the new system.
To keep the two systems aligned the changes made to events and entries in the old system
will be applied to the new system each night.
This will keep the two system in syncs so, but means changes made in the new system will be overwritten each day.
- Syncing to Web Site---
(1) Individual tables will be synced up to cloud every 30 minutes- names, cars
(2) NO Finder tables will be synced down to TOPO -
(3) Daily bulk upload of vscc_AwardData, vscc_HistoryData, vscc_ResultsData
(4) occasional BULK upload of Actions, vscc_MembData , vscc_PublsihedData, vscc_competitionData,
(5) on demand finder in TOPO will publish to TOPO.server tables names, membership_published,
